1. Acceptance of Terms

By accessing and using BedmateGH services, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you may not use our services.

2. Registration and Account

  • Students, hostel admins, campus managers, and developers must provide accurate and complete information for their role.
  • Students must use their real identity, correct gender, university, programme, working contact details, and a clear face photo where required.
  • Hostel admins must keep hostel profile, room, price, policy, bank, and contact details accurate.
  • Campus managers must use their dashboard responsibly and submit accurate hostel onboarding information.
  • You are responsible for maintaining the confidentiality of your account credentials and must notify BedmateGH immediately of unauthorized access.
  • You must be at least 18 years old or have guardian approval to register.

3. Booking, Service Fees, And Payments

  • Students can book by full online payment through Paystack or by manual hostel payment where the platform service fee is paid first and the room fee is deposited to the hostel bank account shown in the app.
  • The current online service charge used by BedmateGH is 2.30% of the room fee unless changed by the developer.
  • The current manual checkout service fee used by BedmateGH is GHS 10.00 unless changed by the developer.
  • Booking confirmations, room assignment, and check-in details are subject to successful payment, hostel verification, and room availability.
  • Manual bookings require the student to submit the bank transaction ID/reference before the reservation deadline. If the student delays, the booking hold may be released and the service fee may not secure the room.
  • Paystack test mode may be used by BedmateGH for testing. Test-mode checkouts do not transact real money and must not be treated as real bookings or live financial records.

4. Coupons And Discounts

  • Coupon codes work only when enabled by BedmateGH.
  • A coupon must be verified before checkout and applies only to the selected booking context shown in the payment summary.
  • Coupon discounts reduce BedmateGH platform service fees unless the checkout summary clearly states otherwise.
  • The hostel is not the bearer of coupon discounts, and coupon redemptions are recorded for reconciliation.
  • BedmateGH may limit, disable, expire, or reject coupon codes based on usage rules, suspected abuse, or business requirements.

5. Hostel Listings, Paid Plans, And Visibility

  • Basic hostel listing may be available without upfront hostel payment where BedmateGH allows it.
  • Hostels may choose optional paid visibility plans when the feature is enabled. Plan benefits may include badges, featured placement, priority search, insights, campaign placement, or priority support depending on the selected plan.
  • Paid plan benefits start only after successful payment or developer activation and stop when a plan expires, is cancelled, fails, or the feature is disabled.
  • Featured placement improves visibility but does not guarantee bookings, occupancy, revenue, or student approval.
  • BedmateGH may hide paid-plan evidence from the app when the paid plan feature is disabled.

6. Campus Manager Referrals

  • Campus managers may receive referral links or codes for attribution, but students and hostels can still register normally without visible referral branding.
  • Student referral commission is calculated on the referred student's first successful paid booking only, according to the signed campus manager agreement.
  • Hostel referral commission is calculated as 20% of BedmateGH net commission on the hostel's first successful paid booking and 10% on later successful paid bookings while the hostel remains active, according to the signed agreement.
  • Campus manager commission is calculated from BedmateGH net commission after applicable gateway fees, VAT, coupons, and related deductions.
  • Campus managers must not collect cash from students or hostels, make false promises, or present themselves as employees unless BedmateGH expressly authorizes it in writing.

7. User Responsibilities

  • Abide by the rules and regulations of the hostel you book.
  • Treat hostel property and other residents with respect.
  • Provide accurate information when making bookings, registrations, approvals, and payment verification.
  • Do not engage in illegal activity using the platform.
  • Do not share account access with others.
  • Do not bypass BedmateGH payment, verification, or approval workflows after using the platform.

8. Refunds, Cancellations, And Disputes

  • Cancellation after payment is not currently self-service, so review hostel details carefully before paying.
  • Refunds, reversals, or dispute handling may depend on Paystack status, hostel policy, bank confirmation, platform records, and Ghanaian law.
  • BedmateGH may request receipts, references, screenshots, or identification before assisting with a payment dispute.
  • Students should not make a second bank deposit unless they are sure the first payment failed or BedmateGH instructs them to do so.

10. Changes to Terms

We may modify these terms at any time. Continued use of the service after changes means acceptance of the updated terms.
